Who we are
Ubique Apps is run by Dale Jefferies, trading as Ubique Apps, based in East Prawle, Devon, UK. "We", "us" and "our" in this policy mean Ubique Apps.
For most of our services we decide how personal information is used, which makes us the data controller under UK data protection law (the UK GDPR and the Data Protection Act 2018).
We're registered with the Information Commissioner's Office (ICO), the UK's data protection regulator, under registration number CSN4704694. You can check our entry on the ICO's register of fee payers.
Some services are used by a business, club or group to manage their own people: an employer's staff on WorkSync, a club's players on In or Out, a hotel group's staff on Hotel Compliance, a tradesperson's customer enquiries on their WorkForce website. For that information the organisation is the data controller and we look after it on their behalf. Questions about it are best sent to them first, but you can always contact us too.
What this policy covers

- Dale's Darts: darts scoring, cups, ladders and stats
- The Stag List: collection rotas for groups
- A Pizza Me: online ordering and the restaurant's own system
- WorkSync: staff time tracking and timesheets
- In or Out: team availability and selection for clubs

The cookie policy lists what each one stores on your device.
What each service collects, and why
The law asks us to give a reason, called a lawful basis, for each use. You'll see them in brackets: contract (needed to give you the service you asked for), legitimate interests (a sensible, expected use that doesn't override your rights), consent (you said yes, and can change your mind) and legal obligation (the law requires it).
This website
jefferies.me.uk · ubique-apps.co.uk
- Contact form: your name, email address and message, sent to us by email so we can reply (legitimate interests). Your IP address is logged with it to stop spam and abuse (legitimate interests).
- Visitor numbers: the page you viewed, the site you came from and your browser type. Your IP address is scrambled with a code that changes every day, so it can't be used to recognise you (legitimate interests).
- Admin sign-in: only for people who run the site. A sign-in cookie keeps them logged in.
Dale's Darts
darts.ubique-apps.co.uk · apizza.me.uk/darts
- Player names and match records: the names a venue adds, every score thrown, averages, results, cup draws and ladder positions. This is what the app is for (legitimate interests of the venue and its players). Names and results can be seen by anyone using that venue's scorer, its big screen and the live games list.
- Ladder email addresses: only if you join a challenge ladder. We use your email to confirm it's you and to send challenge emails: who's challenged you, dates agreed and results (contract). You can turn the emails off or leave the ladder at any time.
- Venue applications: your pub's name and town, your name, email, phone number, number of boards, your message and your IP address, so we can set your venue up (legitimate interests).
- Usage counts: a random code made up by your device, so we can count visits and show which boards are live. It doesn't contain your name or IP address (legitimate interests).
- Security: failed admin and venue PIN attempts are logged with the IP address to block guessing (legitimate interests).
- Visitor statistics: our own tool, PromoHub, records which pages are viewed and the site you came from. It sets no cookies and builds no profile of you (legitimate interests).
The Stag List
staglist.ubique-apps.co.uk
- Your name, email address and phone number when you join a group, so its organisers can put together the collection rota and get hold of you (contract).
- On group rotas only your first name and initial are shown. Your phone number and email are only shared with the organisers of groups you belong to.
A Pizza Me
apizza.me.uk
- Orders: your name, contact details, collection time or table, and what you ordered, so we can make it and get it to you (contract).
- Allergies: if you tell us about an allergy, it's health information. We only use it to make your food safely, with your permission, and it stays with that order (explicit consent).
- Accounts: optional. If you create one we keep your details, favourites and past orders so you can reorder quickly (contract).
- Email updates: only if you subscribe. We send opening days, specials and events, and every email has an unsubscribe link (consent).
- Records the law requires, such as sales records for tax (legal obligation).
WorkSync
worksync.ubique-apps.co.uk
- Accounts: name, email address, password and whether you're an employee, employer or admin (contract).
- Work records: clock-in, break and clock-out times, hours, timesheets, approvals, hourly rates, and the bookkeeper email an employer chooses to send approved timesheets to.
- For staff records, your employer is the data controller and we run WorkSync on their behalf.
In or Out
teams-ubique.co.uk
- Accounts: name, email address, password, and your role in the club: player, captain or admin (contract).
- Team records: your availability for fixtures and training, team selections, refreshment rotas and, if the club uses it, records of fees and payments.
- Notifications about fixtures, availability and selection.
- For member records, your club is the data controller and we run In or Out on their behalf.
East Prawle Fair
prawlefair.co.uk
- Updates list: your email address if you sign up for news about the fair. Every email has a way to unsubscribe (consent).
- Committee portal: sign-in details for committee members who run the site.
Hotel Compliance
hotelcompliance.co.uk
- Demo requests: your name, email, job title, hotel group and number of properties, so we can set up and follow up your demo (legitimate interests).
- Accounts: name, username, email address, password and role (contract).
- Compliance records: risk assessment and COSHH sign-offs, policy acknowledgements, training and competency records, toolbox talk attendance, contractor contact details and the documents a hotel uploads. Contractors get reminder emails when their certificates are due.
- For staff and contractor records, the hotel group is the data controller and we run Hotel Compliance on their behalf.
WorkForce websites for tradespeople
Addresses ending hasitcovered.co.uk
Through WorkForce we host websites for self-employed tradespeople. Each website belongs to the business named on it.
- Enquiries: when you send an enquiry through one of these websites, we store it securely and email it to the business so they can reply. We don't use it for anything else.
- No tracking: these websites don't use cookies, analytics or any other tracking, and don't load anything from other websites.
- For enquiries, the business is the data controller and we look after them on its behalf. To ask about your information, contact the business using the details on its website, or email us at admin@ubique-apps.co.uk.
Who we share it with
We never sell personal information or use it for advertising. We only share it with the companies that help run the services:
- Web hosting, where the apps and their databases live. Our hosting is in the UK, except Hotel Compliance, which runs on Replit in the United States.
- Email delivery, to send the emails each service sends you.
- Google Fonts, which supplies the typefaces on some of our sites. Your browser fetches them from Google, so Google sees your IP address. No cookies are set.
We'll also share information if the law requires it, for example a court order.
Where information leaves the UK, as with Hotel Compliance and Google Fonts, it's protected by the safeguards UK law requires, such as the UK–US data bridge or standard contract terms.
How long we keep it
- Accounts are kept while you use the service. Ask and we'll delete yours, apart from anything the law says we must keep.
- Contact form messages and venue or demo enquiries are kept as long as we need to deal with them and any work that follows.
- WorkForce website enquiries are deleted automatically after 12 months.
- Dale's Darts: match records stay for as long as the venue uses Dale's Darts, because they make up the players' stats. Visit counts are deleted after 90 days, and failed sign-in records after 24 hours.
- Sales and tax records are kept for six years, as the law requires.
- Email lists: you're removed straight away when you unsubscribe.
Your rights
You have the right to:
- see the personal information we hold about you and get a copy
- correct anything that's wrong
- have it deleted, where we don't need to keep it
- object to or restrict how we use it
- take it with you, in a format other software can read
- withdraw consent at any time, where that's the reason we use it
To use any of these, email admin@ubique-apps.co.uk with the subject Privacy. It's free, and we'll reply within a month. We may need to check it's really you first.
Complaints
If you're unhappy with how we've handled your information, please tell us first and we'll put it right. You can also complain to the Information Commissioner's Office (ICO), quoting our registration number CSN4704694, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Children
Our services are built for adults. Where a club or group includes younger members, the club or group is responsible for getting a parent or carer's agreement before adding them.
Keeping it safe
All our services use secure (HTTPS) connections. Sign-ins are protected, access is limited to the people who need it, and repeated failed sign-ins are blocked. If something ever went wrong that put your information at risk, we'd tell you and, where required, the ICO.
Changes to this policy
When we add a service or change what we collect, we'll update this page and the date at the top. For big changes that affect your account, we'll let you know by email.
